Zee Solution ("we", "our", "us") is committed to protecting and respecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use DocuGuide AI, our document chatbot platform available at zeesolution.net, and your choices about the collection and use of your information. By using DocuGuide AI, you agree to the terms of this Privacy Policy.
Information We Collect
We may collect and process the following data about you:
Personal Identification Information
- Email address (required for sign-up and login)
- Business name and website URL (optional)
- Password (stored as a salted bcrypt hash — we never store plaintext passwords)
Technical Data
- IP address, browser type and version, time zone setting
- Operating system and platform
- Browser session identifiers (not tied to personal identity unless the end user logs in)
Usage Data
- Documents you upload (PDF, DOCX, TXT files for your chatbot to reference)
- Document text split into chunks and converted to vector embeddings for semantic search
- Questions asked by your end users via the chat widget
- AI-generated responses and feedback (thumbs up / thumbs down) on bot responses
Payment Information
Payments are processed by Stripe. We do not store your credit card number, expiration date, or CVC. We retain only your Stripe customer ID and subscription ID.
How We Use Your Information
We use the information we collect in the following ways:
- To provide, operate, and maintain DocuGuide AI
- To process your documents and power AI chat responses
- To communicate with you (transactional emails: verification, password reset, trial reminders)
- To process payments and manage subscriptions
- To improve our products and services through aggregated, non-identifying analytics
- To customize the service according to your interests
We will never sell, distribute, or lease your personal information to third parties unless we have your permission or are required by law to do so.
Third-Party Services
We share data with the following processors solely for the purpose of operating DocuGuide AI. Once data leaves our platform via these links, we do not have control over those services. You should exercise caution and review the privacy policies of each provider.

Data Retention
We will retain your personal information for the period necessary to fulfill the purposes outlined in this Privacy Policy unless a longer retention period is required or permitted by law.
- Account data: Retained for the lifetime of your account. Deleted permanently when you delete your account.
- Documents: Retained until you delete them or delete your account.
- Conversations: Retained for the lifetime of your account for analytics. Deleted when you delete your account.
- Sessions: Expire after 30 days and are automatically cleaned up.
- Password reset tokens: Expire after 1 hour.
Controlling Your Personal Information
You may exercise the following rights at any time:
- Access: Request details of personal information we hold about you (via Settings → "Download My Data")
- Delete: Request deletion of your account and all associated data (via Settings → "Delete My Account")
- Rectify: Correct any information found to be incorrect or incomplete (via Settings → Business Profile)
- Portability: Export your data in a machine-readable JSON format
- Object: Object to data processing by contacting us
If you believe that any information we are holding on you is incorrect or incomplete, please email us as soon as possible at contact@zeesolution.net. We will promptly correct any information found to be incorrect.
California Privacy Rights (CCPA)
If you are a California resident, you have additional rights under the CCPA:
- Right to Know: You can request what personal information we collect, use, disclose, and sell. Use "Download My Data" in Settings.
- Right to Delete: You can request deletion of your personal information. Use "Delete My Account" in Settings.
- Right to Opt-Out: We do not sell your personal information to third parties. Data shared with our processors (listed above) is solely for operating the service.
- Non-Discrimination: We will not discriminate against you for exercising your CCPA rights.
Security
- Passwords are hashed with bcrypt (12 salt rounds)
- Sessions use 256-bit cryptographically random tokens
- Cookies are httpOnly, sameSite, and secure in production
- API endpoints are rate-limited to prevent abuse
- All data in transit is encrypted via TLS/HTTPS
- User input is sanitized to prevent XSS attacks
Cookies
We use a single essential cookie:
- session — An httpOnly cookie used to keep you logged in. It contains only a random session token, not personal data. Expires after 30 days or on logout.
We do not use analytics cookies, advertising cookies, or third-party tracking cookies.
Children's Privacy
DocuGuide AI is not intended for individuals under 18 years of age. We do not knowingly collect personal information from children.
Changes to This Policy
We reserve the right to modify this Privacy Policy at any time. Changes will be effective immediately upon posting. We will notify registered users of material changes via email. Continuing to use DocuGuide AI after changes constitutes acceptance of the updated policy.
